Data Retention Policy

1. Retention Philosophy

AssistHR adheres to a principle of "purpose-limited retention." We store data only as long as it is meaningfully contributing to the recruitment process or required by law.

2. Resume & Embedding Storage

When a candidate applies, their resume (PDF) and its high-dimensional semantic vector (embedding) are stored in our secure Supabase environment. These records remain active to allow HR to review and rank candidates effectively.

Life Cycle: Recruitment data is typically retained for the duration of the job posting. Once a job is marked as "Closed" or an HR account is terminated, associated candidate records move into an archival state for 90 days before permanent deletion.

3. Interview Transcripts

Transcripts generated during AI-led interviews are stored securely. These transcripts are vital for the AI's final evaluation scorecard. Like resumes, these are tied to the job ID and HR profile. If a candidate requests their data be removed, transcripts are anonymized or deleted immediately.

4. Automatic Deletion

AssistHR implements automated cleanup routines. Inactive candidate profiles that haven't been engaged by HR for more than 12 months are flagged for periodic removal to ensure our database remains fresh and compliant with modern privacy standards.

5. Secure Deletion

When deletion is triggered, we ensure that both the database record and the associated physical files in Supabase Storage are purged.
